Psych IT – Support Policy

Department of Psychological Sciences — Hardware and Software Support Policy

Introduction

The Department of Psychological Sciences Computer Committee decided on the following policy regarding Departmental hardware and software support. The policy was presented to, and approved by the Department Head and Division Heads on Feb. 7th, 2000.

The list of support is updated by the Computer Committee each semester. The following list of support was approved May 3, 2019.

The Department of Psychological Sciences currently has two computer support staff (Psych. Staff). It should be noted that service priority is given to computer problems that affect large numbers of users (e.g. servers, teaching, network printers, shared machines), thus the actual time interval until support is given may vary with the nature of the problem.

New Purchases

1. Please check with PsychIT BEFORE purchasing any software or hardware not listed in this policy. Do not set up a new server without first consulting PsychIT.

 

2a. New Computers: Windows – In general, these will be current Dell business-class computers purchased through the university and state contract . Our current recommendations:

Workstation: Dell Optiplex 7060 MT ( i7, 16 GB RAM, 512 GB – 1 TB solid state primary drive, 2 TB secondary drive for backups, and 5 year warranty).

Laptop: Dell XPS13 MLK (i7, 16 GB RAM, 512 GB solid state drive, and 4+ year warranty).

These PC’s will meet the security standards set by the University and function well for standard business tasks for at least the 5-year warranty period. When a non-standard computer is required for research purposes, we can assist in identifying various options and in preparation of the required exemption request form.

Purchasing laptops with non-removable drives (e.g. Microsoft Surface, etc) present serious data loss potential because drives cannot be removed for external data recovery. They are also not upgradeable, so important to be honest about how much space is required for the life of the laptop. Do consider how your important data will be backed up (local hard drive and/or cloud… Dropbox, etc.)

2b. New Computers: Mac – In general, these will be current Apple business-class computers purchased through the university and state contract. Our current recommendations:

Workstation: iMac 21.5″ (i7, 16 GB RAM, 512 GB – 1 TB solid state drive, and 3 year warranty).

Power Laptop: MacBook Pro 13″ without touch bar (i7, 16 GB RAM, 512 GB solid state drive, and 3 year warranty).

Laptops with non-removeable drives (e.g. late 2016 Apple MacBook Pro with touch bar, etc) present  serious data loss potential because drives cannot be removed for external data recovery. They are also not upgradeable, so important to be honest about how much space is required for the life of the laptop.

Do consider how your important data will be backed up (local hard drive and/or cloud… Dropbox, etc.)

 

3. All office computers for Department faculty and staff will be encrypted and configured with the same software in current use for university contract PC/MAC. Unless there is a valid exception, PCs and Macs will be added to the University Active Directory. Authentication in this case will be with NETID and password.

Current Computers

4. Current computers: Any current computer must be at least Microsoft Windows 10 or Apple OS X 10.12 (1b) compatible.  The department will try to assist the migration to compliant machines as support for older machines is phased out.

5. Web sites used to collect information from individuals fall under the auspices of the Human Subjects guidelines (see IRB http://research.uconn.edu/irb) and their use with the participant pool requires review by the Department of Psychology’s Ethics Committee (Steven Mellor). Additional information is available on the Participant Pool website

6. It is the responsibility of the user to post only legal material on the web (e.g., copyright laws, libel, etc.) and all websites must comply with current minimum standards for University websites.

7. Files previously stored on discontinued Psychology servers will be deleted after 3 years (graduate students) or after 5 years (faculty).

8.   Servers (Microsoft, Mac, and any Linux/Unix computer) must be updated with the latest patches on at least a monthly schedule. This is a University requirement and critical for the security of department and university networks. Faculty who install and/or maintain Microsoft servers need to comply with many policies, not the least of which can be found at the following URL: Server Hardening Standards.

9. Only office computers and departmental printers are covered by the department. Supplies and parts for research computers and non-departmental printers are the responsibility of the faculty.

10. For color printing, please send the file to the Psychology General mailbox (psychology@uconn.edu) with the subject line “color print job”. It will be printed and placed in your mailbox.

In general if you have a computer problem…

1. Call the Computer Center Help Desk at 6-HELP (6-4357).

They provide excellent support for e-mail, networking, graphics and many software applications.

If they cannot assist you

2. Fill out a web-based Work Order Request at Psych WO This work order form is only to be used to request help with IT associated problems within the Department of Psychological Sciences. It is currently limited such that any requests must originate from within the university or via https://sslvpn.uconn.edu. A work-order number will be given on completing the form that should be used in any correspondence concerning the request. You will get an acknowledgment via comments entered on the online Work Request. There is a section on the login page where users can retrieve “forgotten” passwords. Passwords for this site are not emailed at the time access is granted. You should use the “forgot password” option to have the system email you the correct password. If the forgot password option indicated that you are not in the system, please email Psych IT.

If you are not at the university, use the vpn or e-mail option…

You will get an acknowledgment via comments entered on the on-line Work Request and also via email
when completed.

[1] a.) Windows: Current machine must be minimally Windows 10 compatible, with at least an Intel  i5, i7 processor or AMD processor released since 2010, with Trusted Platform Module [TPM – Windows] for encryption, a DirectX 11.0-capable Graphics Processor, at least 120 GB solid state hard drive (SSD) and a minimum 8 GB of RAM (required for 64-bit) with 16 GB RAM recommended. Older PC’s not meeting/exceeding specifications above cannot adequately run current software. Newer PC’s may not be able to run prior versions of Windows if device hardware is incompatible, lacking current drivers, or otherwise outside of the Original Equipment Manufacturers (“OEM”) support period.

Office computers will be configured by default to provide whole-disk encryption with automatic updates enabled. Those running Windows and Mac OS X 10.12 or higher will be bound to the UConn Active Directory allowing authentication with NETID/password.

Note that a new off-network Qualtrics app became available for use by faculty, staff, and students at UConn this year.

 

Printing on Mac OS X – Adding a Networked Printer at Psychological Sciences


Attaching a Network printer to OS/X(LPD)

The following quide will assist you in installing a netwok printer on your OS/X system. Latest drivers for HP printers (v.5.0) are available at the following location: https://support.apple.com/kb/DL1888?locale=en_US Note: this download is 575 MB. This should be downloaded if the printer model that you wish to install IS NOT AVAILABLE on the printer list in Step 4B (below).


Step 1.

Browse to System  Preferences from the “Apple” menu on the upper left corner of screen as shown.

From the full system preferences window (shown below), select “Printers & Scanners“.

Step 3.

Whether Mac OS 10.8.x to 10.12.x is on your computer, make sure that  “Printing” is selected and click the small “+” on lower left corner of window

Step 4.

(4A) Again,whether Mac OS 10.8.x to 10.12.x is on your computer, the following screen will appear. Make sure that “IP” is selected from Printer Browser as shown and that LPD protocol is used.

Fill in “Printer Address” with Psyprint.psy.uconn.edu.

“Queue” should be completed with the name of the printer you will print to. It should be Printerxxx (xxx is the room where the printer is located). Printer190C is shown throughout this document.

Under “Name”, enter the display name of the printer you wish to print to. It should be “Printer Xxx”. In this example case, it would be Printer 190C.

(4B) Under “Use”, Point and Click on “Select Printer Software”. It will almost always be an HP. You must select the model name for the printer being installed. In the case of the Printer in Bous 190C, the printer “HP LaserJet 600 M601 M602 M603” should be chosen. If you do not see the correct model, the latest HP print drivers are available at the following location https://support.apple.com/kb/DL1888?locale=en_US. See below for the model associated with each of the printers.

For printer options click on the “Configure” button as the printer loads. On the following screen after selecting printer model make sure that “Optional Tray 3” has “500-Sheet Input Tray” selected and that the “Duplex Unit” is also checked. You may need to push the scroll bar up (at right) in order to see all the options.

We maintain many network printers. The ones listed below are available for use by different populations, so PLEASE note the group to which you belong and do NOT print to any others.


Doing so would certainly risk the patience of specific faculty and the administration and could result in loss of network privaleges.

Step 6.

If successful the printer will be listed as shown. Note that if more printers are to be installed, they can also be done from the “Printer Browser” screen.  Simply refer to step #3 above. You do not need to start at the system preferences screen.

Step 7.

Please do NOT– ever select “Share this printer on the network”. It is a good practice to print a test page to the printer at this time. If you are unable to print create a work order.





Keycard Request Instructions

Keycard Requests

We have arranged with the Husky One Card Officeto provide an upgrade to UConn ID cards to make them PROXIMITY-ENABLED. This applies to undergraduate students who are identified by the Psychology department as needing such cards.

Next week, you should receive a follow-up message from Matthew Butwill with directions on where to find a web-based Proximity Enabled Keycard request form. Going forward, please use that form to request keycard activations and extensions. Those needing Physical keys will still need to contact Virgina Wetzel directly.

Please note that we will not accept a request directly from undergraduate students themselves to make their keycards proximity-enabled. Requests must come from one of our faculty, graduate students, or staff and must specify the following information.

  1. The PI (faculty/staff) responsible for the activations.
  2. Full student name (no nicknames)
  3. PeopleSoft number – a 7 digit number on front of your Husky One card
  4. netid of student
  5. Date access needs to begin
  6. Date access needs to expire
  7. Times of day access is needed (Weekdays/24 hr, Weekdays 7am-7pm, 24/7, etc)
  8. Rooms / areas where access is needed
  9. If you already have a PROXIMITY card, please provide the 5 digit number on the BACK of Husky One card.

Undergrads:

  • Pick up authorized request form from Virgina Wetzel (main office – 106) and provide to Husky One Card Office

There will be no charge to the students or the Psychology department for the upgrade of UConn ID cards to PROXIMITY-ENABLED cards as long as we follow this protocol. We cannot pick up the cards for students, because they are the property of the student. Obviously, the sooner the requests are made, the sooner the students will have access to their cards.

Some students will eventually come to you with the new cards, so please ask them before accidentally requesting another. Obviously, if a student already has a card with proximity access, that card number should also be provided with the initial request information (see above) and no need to visit Virginia Wetzel unless a physical key is also needed.

Finally, send Psych IT the 5 digit card number on the back of the Proximity-Enabled UConn ID. In the best of both worlds, the card number should be verified by Virginia, or whoever is requesting the access to assure that the numbers are correct. Whoever verifies the number should copy Virginia with the card number.

Because the new cards belong to the students, there will be no need to request that students return these cards.

By this September, all of the white proximity cards previously issued by Psychology for undergraduate students will expire and should be returned to Virginia Wetzel.

Graduate Students

The Husky One Card office has agreed to provide all of our graduate students with the new proximity-enabled cards at no cost. Simply present your old UConn ID card and they will issue the new proximity-enabled one (no need for authorized form from Virginia). Please remember to contact Psych IT (copy Virginia) with the new card number and if applicable do return the old white proximity card, if one was issued for your use.
